Rock Vein Assay Laboratories Limited (RVA Labs) (“we,” “our,” or “us”) is dedicated to safeguarding the confidentiality, security, and proprietary integrity of our clients’ exploration data, analytical geochemical assay results, sample manifests, and corporate information across all laboratory operations and digital touchpoints.
1. Scope & Legal Framework
This Privacy & Data Governance Policy applies to all analytical services, sample submissions, digital assay portal communications, quotation requests, and technical interactions conducted with Rock Vein Assay Laboratories Limited (incorporated in the United Republic of Tanzania, Headquarters: Deluxe Hotel Building, Uhuru Street, Mwanza). Our data practices adhere to the Tanzania Personal Data Protection Act (PDPA) 2022, the Mining Act of Tanzania (Cap 123), and the strict confidentiality mandates of ISO/IEC 17025:2017 (General Requirements for the Competence of Testing and Calibration Laboratories).
2. Information We Collect & Process
In executing commercial and statutory laboratory assay mandates, RVA Labs collects and processes the following categories of data:
- Client & Entity Identification: Authorized company name, exploration license (PL/ML/SML) numbers, billing contacts, designated project geologists, and official email addresses.
- Sample Logistics & Chain of Custody (CoC) Records: Sample batch identifiers, sample matrix types (drill core, RC chips, soil, stream sediments, bullion doré, water/effluent), sample weights, dispatch manifests, and receipt timestamps.
- Geospatial & Exploration Metadata: Drill hole IDs, collar coordinates, sample intervals, and geological lithology descriptions submitted voluntarily for metallurgical interpretation.
- Analytical Results & Certificates of Analysis (CoA): Raw instrumental data, calibration curves, QA/QC batch statistics (CRMs, blanks, duplicates), and finalized signed Certificates of Analysis.
3. Absolute Exploration Data Confidentiality & Non-Disclosure
We recognize that mineral exploration data, assay grade distributions, and drill hole coordinates represent high-value proprietary assets. RVA Labs enforces an uncompromising non-disclosure standard:
- Zero Third-Party Commercial Disclosure: Under no circumstances are assay grades, resource drill data, or client project coordinates disclosed, shared, or commodified to third parties, competitors, or financial entities.
- Need-to-Know Laboratory Partitioning: Internal sample batches are barcoded and anonymized upon intake. Laboratory bench technicians and furnace operators process samples by unique barcode IDs without access to client identity or prospect names.
- Encrypted Result Delivery: Official digital Certificates of Analysis (CoA) and CSV data tables are transmitted solely via cryptographically secured channels and directly to authorized client personnel nominated on the Chain of Custody document.
- Statutory Reporting Exceptions: Disclosure is made only where explicitly mandated by Tanzanian statutory authorities under the Mining Commission Regulations or by lawful court order, with immediate notification provided to the client unless legally prohibited.
4. Sample Storage, Digital Archive & Retention Policy
To ensure full traceability and support future audit requirements under international reporting frameworks (JORC Code 2012, NI 43-101, SAMREC):
- Analytical Raw Data Archive: Raw spectrometer outputs, fire assay balance weights, and QC logs are securely archived in tamper-evident digital storage for a mandatory minimum of 7 years.
- Physical Pulp & Coarse Reject Retention: Pulverized sample pulps (<75µm) are stored in climate-controlled secure vaults for 90 days free of charge. Long-term storage or secure courier return is available upon written instruction. Unclaimed coarse rejects are safely disposed of in compliance with National Environment Management Council (NEMC) environmental regulations after 60 days.
5. Information Security & Data Integrity
Our digital infrastructure employs enterprise-grade security protocols, including 256-bit SSL encryption, automated offsite database backups, multi-factor authentication for laboratory information systems (LIMS), and physical security controls restricting access to our Mwanza Central Analytical Complex.
